WE’RE HIRING – FULL-TIME SCHEDULER
Coolabah Cooling & Electrical is looking for an organised, confident and capable Scheduler to join our team at Tweed Heads.
This is primarily a scheduling position, responsible for coordinating our installation, service, repair and maintenance teams across Northern New South Wales and South East Queensland.
You will take ownership of the daily and forward schedule, ensuring the right people are allocated to the right jobs with the correct skills, licences, equipment, materials and realistic time allowances.
The role will also provide support to the wider administration team when scheduling priorities allow.
ABOUT THE ROLE
Our work ranges from domestic air conditioning installations and service calls through to commercial HVAC, refrigeration, electrical work, planned maintenance and urgent breakdowns.
You will coordinate technicians, installers, electricians, apprentices and subcontractors across a busy and constantly changing schedule.
This is not simply a matter of filling spaces in a calendar. You will need to understand the requirements of each job, plan ahead, identify potential issues and make informed decisions about labour, travel, skills and timing.
Installation scheduling will include confirming that jobs are ready to proceed, equipment and materials are available, suitable labour has been allocated, site access is confirmed and customers, builders or site contacts have been kept informed.
Service scheduling will involve allocating technicians according to their experience and location, responding to urgent breakdowns, managing return visits and keeping existing commitments moving with minimal disruption.
KEY RESPONSIBILITIES
• Manage the daily and forward schedule for installation, service, repair and maintenance work
• Allocate technicians, installers, electricians, apprentices and subcontractors based on their skills, licences, location and availability
• Schedule installation crews with realistic allowances for labour, travel, site conditions and project requirements
• Coordinate multi-day installations, rough-ins, fit-offs, commissioning visits and return works
• Confirm installation jobs are ready to proceed, including equipment, materials, access, plans and customer or builder requirements
• Monitor job progress throughout the day and adjust the schedule when delays, emergencies, weather, parts issues or unexpected site conditions arise
• Respond to urgent breakdowns while minimising disruption to existing appointments and commitments
• Communicate clearly with customers, builders, site contacts, technicians and office staff
• Ensure field staff have accurate job information, access details, plans, job history and site instructions
• Monitor job statuses and identify work that is awaiting parts, quotations, customer approval, return visits or management attention
• Follow up outstanding technician notes, photographs, model and serial information and other details required to progress jobs
• Work closely with the service, installation, sales and administration teams
• Assist with general administration duties when scheduling priorities allow
ABOUT YOU
We are looking for someone who:
• Has previous experience in scheduling, dispatch, service coordination, construction coordination or a similar position
• Is highly organised and has excellent attention to detail
• Can manage competing priorities in a fast-paced environment
• Is comfortable making decisions and adjusting plans when circumstances change
• Can confidently follow people up and hold others accountable for required information
• Communicates professionally with customers, builders, tradespeople and office staff
• Takes ownership of issues and follows them through to completion
• Thinks ahead rather than simply reacting to the next problem
• Is confident using computers, job-management software and other digital systems
• Can work effectively as part of a team without requiring constant supervision
TRADE BACKGROUND?
This could also be an excellent opportunity for an experienced tradesperson looking to transition off the tools and move into an office-based scheduling and coordination role.
A practical understanding of air conditioning, refrigeration, electrical, plumbing, construction or another trade environment would be highly valuable.
To be successful, you would also need to be confident using computers and software, have strong communication skills and be capable of managing multiple jobs, people and priorities at the same time.
Previous experience with Simpro would be an advantage, although training can be provided.
