My thoughts are with everyone affected by the Southern train derailment near Lewes on 13 August.

Service 1F34, travelling from London Victoria to Eastbourne, had around 150 people on board. Reports indicate that 20 people were injured, including two seriously. I’m thinking of the passengers and their families, as well as the rail staff and emergency responders who acted and continue to support those involved.

An investigation is now underway, and it is important that it is allowed to establish the facts carefully and independently. There is no place for speculation or blame while that work is ongoing.

Working in and around the rail and infrastructure sector, incidents like this also underline the importance of accurate, accessible and auditable records. Clear information helps teams coordinate their response, understand what happened and learn from it properly.

That is one of the principles behind IMS: helping organisations keep important records centralised and available when they are needed. But today, the focus is on the people affected.

When I built The IMS System, I kept hearing the same thing from contractors.

"We're compliant : we just can't show it quickly."

That sentence is more common in rail and infrastructure than most people admit.

And it matters more than ever right now. Client audit requirements are getting stricter. Framework compliance is more scrutinised. And the margin for evidential gaps is shrinking.

IMS exists because compliance shouldn't depend on one person knowing where everything is. It should be a system that works whether the H&S Manager is on site, in a meeting, or on holiday.

5 reasons rail contractors fail compliance audits : and none of them are what you think.

#1: Outdated documents
Rev 3 is on the server, Rev 4 is in an email, and the site operative has a 3-month-old Rev 2. Auditors find this every time.

#2: No audit trail on competency
You know they're qualified, but can you prove who checked the card and when in under 60 seconds? If not, it's a finding.

#3: Dead-end corrective actions
An action from 4 months ago is still open because nobody followed up. Auditors check if you actually close the loops.

#4: Unlinked permits & inspections
Inspections in one system, permits in another. When an auditor asks for everything related to one specific activity, can you pull it all together?

#5: The H&S Manager bottleneck
If one person manages every audit and action, what happens when they're on leave? That's a systemic risk, not a people problem.

Most rail contractors don't fail audits because they're unsafe.
They fail because they can't prove they're safe.

There's a big difference.

Your team could be doing everything right on site. Toolbox talks happening. Permits being issued. Inspections being done.

But if it lives in someone's head, a WhatsApp group, or a folder on someone's desktop : it doesn't exist as far as an auditor is concerned.

Compliance isn't just about what you do. It's about what you can evidence, instantly, under pressure.
