Position Overview:
The Office Administrator will be responsible for ensuring the smooth day-to-day operation of our plumbing office. This includes managing customer communications, scheduling jobs, supporting field technicians, and maintaining accurate records. The ideal candidate will be detail-oriented, tech-savvy, and capable of working independently in a fast-paced environment.

Key Responsibilities:
• Customer Service & Communication:
o Answer phone calls and emails promptly and professionally
o Handle customer inquiries, job bookings, and follow-ups
o Liaise between customers and technicians to coordinate appointments
• Scheduling:
o Schedule jobs using AroFlo
o Manage daily work calendars for technicians
o Handle emergency call-outs and rescheduling when needed
• Office Administration:
o Set up and maintain organised filing systems (physical and digital)
o Order office and plumbing supplies as required
o Ensure all necessary permits and paperwork are submitted on time
o Maintain job records, warranties, and compliance documentation
• Team Support:
o Provide general support to technicians and management
o Assist with onboarding new staff and maintaining employee records
o Support marketing efforts (e.g., Google reviews, social media updates, email campaigns)
Qualifications:
• Proven experience in office administration (trade industry or plumbing preferred)
• Strong organizational and multitasking skills
• Excellent verbal and written communication
• Proficient with Microsoft Office Suite, Google Workspace, and scheduling/invoicing software
(e.g., ServiceM8, Aroflo, Fergus, or similar)
• Ability to remain calm under pressure and handle unexpected situations
• High attention to detail and accuracy
• Friendly, professional, and customer-focused attitude

Bonus Skills (Not Required, but a Plus):
• Experience in the plumbing, electrical, or construction industry
• Knowledge of basic bookkeeping or accounting principles
• Social media or basic marketing experience
