How to tell when existing survey data is too old to trust on a live project

Old survey data usually fails in three places. The site has changed, the control has drifted, or the model no longer matches what crews are actually building from.

That sounds obvious until you’re under pressure to keep moving. A set of coordinates can look fine on paper and still be risky if the ground has shifted, the last update was captured before a major stage change, or the data has been copied through too many hands without a clear version trail.

The safest check is simple. Ask whether the data still reflects the current physical condition, the current control network, and the current project purpose. If any one of those has changed, the survey may still be useful for reference, but it should not be treated as live truth.

Here’s the practical test we use on active jobs:

- Was the data captured before recent excavation, fill, demolition, or structural installation?
- Has the control network been re-checked since the last major site movement?
- Is the dataset tied to a controlled revision, or just sitting in someone’s folder?
- Does the information still support the decision you need to make today, not last month?

A quick example. On a live civil project, an as-built set may be perfectly fine for background context, but once services are exposed, levels change, or a new trade starts working around the area, that same file can become misleading fast. The issue is not that the original survey was poor. The issue is that the site moved on.

That is why traceability matters as much as accuracy. If you cannot tell when the data was collected, what it was checked against, and whether the control is still valid, you’re guessing. And guessing with survey data is how small discrepancies turn into rework.

The rule I keep coming back to is this. Survey data has a shelf life, and the shelf life gets shorter every time the site changes.

Survey control keeps every setout, check, scan, and as-built tied back to the same reference, so the work you measure today still means something tomorrow.

When control is validated properly, it protects more than position. It protects traceability. It protects conformity checks. It protects the team from building off a drifting reference and discovering the problem only after concrete is poured, steel is fixed, or another trade has moved on.

That is why control has to be managed like a live asset, not a one-off task.

A good control network gives the site a stable framework for:
- setout that can be repeated and verified
- conformity surveys that are independent of the original setout method
- machine control and guidance that stay within the allowed accuracy limits
