Administrator/Receptionist Role
Full Time (Maternity Leave Position)
AXT PLUMBING is looking to employ a full time Reception/Administration support person to assist in running the day-to-day activities of the office. This is a fantastic opportunity for a highly motivated, dynamic Administrator/Receptionist to join our team. This role is on a full time basis Monday to Friday, 38-40 hours per week based at our office in Yarrawonga.
You will bring a positive attitude, be warm and friendly with excellent organisational skills, great communication skills.
You will be required to gain the required knowledge in our field of works undertaken as so you have the ability to identify and prioritise works as required as so we can service a broad range of customers.
You will need to manage a high volume of bookings & accommodate emergency jobs while still balancing a strict schedule and ensuring technicians make promised time frames.
You will be joining a friendly office environment in a role that includes a variety of responsibilities including but not limited to:
β’ Provide admin support to all parts of the business
β’ Reception β First point of contact and referral
β’ Excellent telephone skills with the ability to liaise with clients and field staff on a daily basis, with a strong customer service focus
β’ Processing requests for work orders and quotes
β’ Scheduling & allocating jobs to field staff
β’ Dealing direct with all clients, Builders / Real Estate / Councils / Residents
β’ General office duties β photocopying, printing, scanning, filing
β’ Preparation and drafting of invoices and tenders
β’ Debt collecting duties
β’ Raising purchase orders
β’ Managing all incoming and outgoing emails
β’ Exceptional organisational skills
β’ Excellent written & verbal skills
β’ Willingness to undertake traineeship β Cert III in business
ABOUT YOU:
To be successful in this role you will have the following skills and attributes:
β’ Minimum of 2 years of work experience in a similar environment
β’ Experience with FERGUS job management software (an advantage)
β’ Experience with Xero accounting software (an advantage)
β’ Exposure to work scheduling in a tradeβs environment (an advantage)
β’ High level of accuracy and attention to detail
β’ Commitment to providing excellent customer service
β’ Highly developed communication skills (by email and phone)
β’ Computer skills including use of Mac, Microsoft Word & Excel
β’ Be a problem solver with the ability to think on your feet to resolve issues quickly
β’ Excellent organisation and time management skills
β’ Superior customer service skills
β’ Ability to work in a team
β’ Knowledge of the plumbing or trade service industry (an advantage)
