We are looking for a part-time office administrator.
Teamwork is essential for office staff, who often work closely with the directors. They must collaborate with colleagues, share ideas, and contribute to a collaborative culture, fostering greater success within the organisation.
Prioritisation
With everyone seeking the attention of an office staff member, it’s crucial to know how to prioritise tasks effectively. Business skills help office staff prioritise based on organisational needs, while time management skills help them handle their workload efficiently.
Flexibility
You will be often faced with packed to-do lists and must determine which tasks to address first. In addition to deadlines, you will need to handle urgent questions from colleagues and/or customers and maintain the office culture, making flexibility essential for managing multiple priorities.
Support
It’s about taking responsibility, owning one’s work, and making a positive impact in the organisation. You will be asked to understand and support our work teams to work more effectively.
Communication
Communication is a critical skill for office staff, becoming even more important with the rise of AI. Office managers must get to the heart of issues and communicate effectively with people across various levels and backgrounds, adapting their style as needed.
Tech Savvy
Office staff must stay updated on the latest office equipment, apps, and technology that colleagues regularly use.
Understanding the Business
Understanding the business inside and out is essential for office staff, enabling them to make decisions aligned with the organisation’s objectives. Financial understanding and overall business knowledge to help prioritize tasks and allocate resources effectively.
This role will be an integral part of our business, bringing unique skills to the office. Handle general admin tasks – data entry, filing, records, and document control. Raise purchase orders and help with approvals and processing.
Run PQQ checks and ensure compliance.
Liaise with suppliers and manage professional correspondence.
Answer incoming calls and internal/external queries.
Identify opportunities to improve admin and purchasing processes.
Help shape and improve PQQ policies and procedures.
Work with the team to roll out better ways of working.
Attend team meetings and update on progress and tasks.
Support with invoicing and updating job/project details in the system.
Provide general office support, including IT and comms coordination.
Monitor commercial accounts and resolve queries.
Take minutes during meetings when needed.
Required Skills and Abilities:
Essential: Previous experience in a similar administrative role, preferably in a technical environment, is beneficial. A good knowledge of Microsoft Office apps (Word, Outlook, Excel)
Desirable: Working within a project or facilities management environment. Business Administration Level 2 qualification or above.
This is a part-time role, working approximately 25 hours per week, Monday to Friday.
Daily hours required will be 10am-3pm; however, this can be discussed at interview.
