The Role:

We are looking for a motivated and organised General Administrator with Accounts Support to join our busy and growing team. This is a key role supporting day-to-day operations across the business, with a special focus on administrative tasks and assisting with accounts functions. You’ll play an essential part in helping us stay efficient and well-coordinated, ensuring the smooth running of both the office and on-site activities.

Key Responsibilities:

Answering calls, emails, and dealing with general enquiries

Managing schedules, appointments, and project timelines

Ordering materials and tracking deliveries

Assisting with bookkeeping, invoicing, and basic accounts tasks

Maintaining financial records and filing systems

Liaising with clients, suppliers, and team members

Supporting the directors with general admin tasks, including accounts-related tasks

What We’re Looking For:

Strong organisational and time management skills

Excellent communication and interpersonal abilities

Proficiency with Microsoft Office (Word, Excel, Outlook)

Previous admin experience (construction background a bonus, but not essential)

A positive, proactive, and flexible attitude

Ability to handle financial documentation and confidentiality with integrity

Accounts Assistant

About us :

IBI Joiners is one of the largest joinery contractors in the Highlands, with a breadth of skills across the construction industry. We are equipped to undertake all aspects of domestic, commercial & industrial construction projects as well as to provide the additional services required in a variety of building projects, such as project management, surveying & estimating and the co-ordination of other trades.

We are currently recruiting for a talented, motivated and ambitious accounts assistant to join our growing Construction Scotland Team.

Job Purpose: Reporting to the Senior Management, the Accounts Assistant will be responsible for providing financial, administrative and clerical services, including processing and monitoring payments in an effective and efficient manner to ensure that company finances are accurate and up to date and that suppliers and sub-contractors are paid within established time limits.

Responsibilities and Accountabilities:

Receive, input and distribute invoices and requisitions for goods and services;
Distribute invoices for approval and follow up any invoices not returned in a timely manner;
Verify bone fide transactions have been appropriately authorised;
Post batches of invoices for data entry;
Input invoices for payment (circa 200 per week);
Maintain a filing system for all financial documents and ensure the confidentiality and security of all financial files;
Prepare payment runs, including collating invoices, reviewing bacs details, ensuring correct authorisation and emailing remittance to supplier;
Reconcile supplier statements to our ledger;
Ensure all contract terms of payment are met;
Ensure correct treatment of VAT;
Deal with queries from suppliers and other departments;
Investigate variances and anomalies identified;
Provide administrative support in order to ensure effective and efficient office operations;
Other duties as required.
Technical Competencies:

Accounts payable experience;
Analytical, accurate and pride in own work and also that of the team
Target driven, self-motivated and able to work well in a team;
A good listener and patient;
Confident and articulate, clear communicator;
Polite telephone manner;
Organised and demonstrable time management skills;
Computer literate - Excel, Outlook, Word;

Salary and pay :

Full time permanent PAYE role with holiday pay and package available.

· Main Duties and Responsibilities :

Conducting feasibility studies to estimate materials, time and labour costs
Provide support to commercial director
Ensure clients achieve their stated objectives through close teamwork, proactive cost control and the provision of contractual advice
Preparing, negotiating and analysing costs for tenders and contracts in alignment with tender submission
Assist with the negotiation of sub-contract orders
Preparing sub-contract order requisitions
Maintaining sub-contract payment/applications for payment
Carrying out of monthly sub-contract payments
Producing monthly cost and value reports
Other commercial administration activities as may be required from time to time
Representing the company in a professional and diligent manner
Experience and skills required :

Have relevant qualifications (Degree or HND in Quantity Surveying or equivalent is desirable)
Excellent problem solving skills
Good financial and numeracy management skills
Excellent communication and negotiating skills
Computer literate in MS Office, Excel, Project, Word etc
The ability multitask and to work well under pressure
Be pro-active in developing new systems to meet changing operational needs

Salary: £28,000.00 to £39,00.00 /year
