OFFICE ADMINISTRATION ASSISTANT
Vacancy Description
Duties include (but not limited to)
· Reception duties – including answering and directing phone calls and meet and greet visitors
· Dealing with daily incoming and outgoing post
· Filing, photocopying and scanning
· Record and maintain accurate computerised and manual filing systems
· Booking of travel arrangements
· Manage stationery stock
· Preparation of meeting documentation
· Secretarial support using Microsoft 365 (Windows): Word, Excel, Publisher and PowerPoint
· PA support to Office Manager/Director
· Prepare and produce letters and emails
· Liaising with customers and suppliers regarding orders
· Ensuring all orders are in time with work placements
· Processing work orders into live jobs
· Raising customer invoices and processing supplier invoices
· Liaise with local authorities regarding job processes in line with authority guidelines
· Any other duties deemed suitable to the post
Skills Required
· Candidates must be able to demonstrate the following:
· Excellent verbal and written communication skills
· IT skills including an understanding of word processing, excel and internet navigation
· Must have knowledge of supplier and customer processes
· Team skills
· Be able to complete work within set deadlines
· Organised
· Open to change
· A willingness to continuously improve both personally and professionally
Qualifications Required
Candidates will ideally possess a GCSE at grade C or equivalent in maths and English.
Must have previous experience of working in office environment.
Personal Qualities
We are looking for a highly motivated individual who is naturally confident in communicating at all levels. Candidate must have good organisational skills with attention to detail. Being able to work independently is important however candidates must be able to work closely with other members of the company.
Candidates will demonstrate a positive attitude towards the workplace and towards the company. Flexibility in occasionally changing working patterns to support holidays and absences, is important.
Working Week
The hours worked will be 37 hours per week between 8am and 5pm, Monday to Friday, (usually Monday to Thursday 9am to 5pm and Friday 9am to 4.30pm)
Salary Range
The salary range is from £17,316 to £23,088 per annum, depending on experience.
