There is a space in finance that does not get enough attention.

Too detailed for an accountant. Too operational for a Finance Director. Too complicated for admin support to manage consistently.

The messy middle. And it is where most of the friction lives.

Employee expenses are a perfect example. The fix is rarely complicated. It is about capturing costs when they happen, not chasing them weeks later.

Once that process is right, everything else gets calmer. No missing receipts. No end-of-month scramble. No compliance gaps. Just a system that actually fits how your team works.

We have shared a real example of how a simple change made a big difference. Read more: https://www.profectusaccounting.co.uk/resources-and-tips/why-your-employee-expense-process-is-costing-you-more-than-you-think/

A client came to me recently with what seemed like a simple business change.

She was healthcare professional, her partnership had come to an end, and she was moving to a limited company.

Straightforward enough, or so it seemed.

But once we started talking it through, a much bigger picture emerged: VAT registration, her clients, pricing pressure, margins and how the change could affect her client relationships. Read more.

In this article, I explore the most common causes of finance chaos in charities and practical ways to prevent it.

💙 I’m incredibly grateful for the kind words shared by clients and connections, it really means a lot to me.

Here’s a recent testimonial:
“Renu has been a delight to work with. She is proactively organised, highly responsive, and incredibly good at what she does. A true allrounder, with the ability to see businesses holistically.

She is a dream client and I have no hesitation in recommending her services, which are clearly reflected in the highly responsible way she chooses to do business with others. ”

Thank you for the continued trust and support, it’s always a pleasure to help make finance feel simpler and more approachable.

Last month, I had the honour of being named a (Small Business Sunday) winner by Theo Paphitis.

At the time, I shared how proud we were to receive that recognition, but it’s been great to see the story now picked up by local press.

The article captures what Profectus is really about: supporting organisations who are doing important work but are being slowed down by day-to-day finance challenges.

I often see businesses, charities and early years providers struggling not because they lack ambition, but because their finances feel messy, manual and harder than they should be.

That’s exactly why Profectus exists; to bring structure, clarity and calm through my “Finance Fixer” approach and to make sure everything runs smoothly behind the scenes.

The recognition from was a fantastic moment, but the real focus for us remains the same: helping our clients feel more in control and less overwhelmed.

Good financial management is not just about keeping records, it’s about creating clarity, control and confidence in your business.

I often work with business owners who feel overwhelmed by bookkeeping, invoices, late payments, payroll and trying to stay on top of deadlines. One of the most effective ways to simplify this is by using the right accounting software and Xero is one of the platforms I regularly recommend.

Xero helps businesses manage their finances in real time by bringing everything into one place: bank transactions, invoicing, expense tracking, VAT returns, payroll, cash flow visibility and financial reporting. Instead of waiting until month-end to understand how your business is performing, you can access up-to-date financial information whenever you need it.

This not only saves time but also reduces costly mistakes, improves accuracy and helps business owners make better decisions based on real numbers, not guesswork.

For startups, freelancers and growing businesses especially, cloud accounting provides flexibility and peace of mind. Whether you're reviewing your cash flow, preparing for tax season, or planning your next stage of growth, having reliable financial data makes a huge difference.

If you are still relying on spreadsheets or outdated systems, it may be time to consider whether your current process is truly helping your business move forward.

SORP 2026 introduces important changes to how charities recognise income and report financial information.

💰 Income classification is now more important
Charities must assess whether income is:
• a donation or grant
• payment for a service

This distinction affects when income is recognised in the accounts and how it is presented.

In some cases, this may change the timing of income recognition compared to previous reporting.

📊 Cash flow statements
These are only required for larger charities, but some smaller organisations may still need one due to company law requirements.

📌 What charities should do now

✔ Identify your reporting tier
✔ Review any lease arrangements
✔ Check how income is classified
✔ Update your Trustees’ Annual Report

Starting early gives you time to review your processes and ensure your reporting aligns with the new requirements.
