Capture/Proposal Coordinator
Overview:
The capture-proposal coordinator position works with the Business Development team and manages the entire proposal process, from inception to production and submission. They will perform the role of project manager for proposal development efforts. They maintain contact with all corporate personnel, regional managers, project managers, and other field personnel as necessary to gather information for proposals. They will work independently and as part of a team. Task prioritization and organization are key elements of this role, there will frequently be multiple proposals at different stages in the process occurring concurrently. Responsibilities Include:
• Monitor government and private subscription websites for contract opportunities
• Thoroughly reading RFP/solicitation docs and comparing to make sure everything in the proposal drafts are present, in order, and of good quality
• Maintain proposal library; library of stock narratives
• Download, review solicitations for potential projects. Construct solicitation outlines; distribute to business development team.
• Act as project manager of proposal efforts, including:
o lead kick off meeting to define expectations
o identify tasks and assign responsibilities, and develop production schedule
o assist technical capture manager in developing win themes
o complete tasks and assigned responsibilities, and adhere to proposal schedule
o draft/edit text; schedule reviews
o final submittal production and delivery
• Correspond with government agencies as necessary
• Outline proposals; develop templates as necessary.
• Work with business development team and field personnel to gather and develop information for each proposal.
• Develop technical proposals; translate technical information into cohesive, comprehensible narrative.
• Use checklists to ensure compliance with all solicitation requirements.
• Develop and lead proposal review process.
• Submit drafts to business development team, in-house subject matter experts for review and input. Revise as necessary.
• Maintain all solicitation modifications and amendments; revise proposals accordingly.
• Review the FAR, other government regulations as applicable.
• Continually learn about new concepts in building maintenance, fire, security, and renovation/construction; incorporate into proposal narrative.
• Writing and editing of resumes and project descriptions, the development and maintenance of proposal materials, research, and other miscellaneous coordination; uses internal database information to support proposal efforts
• Populate required forms; submit to corporate management for signature.
• Respond to contracting agencies’ requests for additional information for projects under review.
• Participate in educational opportunities; maintain personal networks.
• Develop and maintain narrative description of each funded project.
• Participate in business development and strategy meetings as needed, supporting development of content for proposals, and creating marketing collateral
• Maintain opportunity databases (Insightly, SharePoint)
Qualifications:
• This is a deadline-driven position, often working under stressful conditions. Must be
• highly organized, self-motivated, able to work independently and with a small team, change plans on short notice, and meet tight deadlines, takes ownership of work
• Bachelor’s degree in a relevant field (preferred)
• Excellent writing, editing, document formatting, and oral and written communication skills
• Comfortable with the process of evaluating RFPs, planning, preparing, and producing proposals and qualifications packages for government and private clients—familiarity with the Shipley method is a plus
• Ability to research, gather information from subject matter experts, written sources, other sources and integrate into a cohesive narrative
• Substantial experience in technical writing
• Must be familiar with all Microsoft 365 applications—including SharePoint and Teams
• Generally technologically savvy—familiarity with CRM databases is a plus
• Detail oriented with the ability to think strategically and creative problem-solving skills
