Hiring: Office Manager/ Bookkeeper
Job description
Job Purpose
Support company operations by maintaining office systems and supervising clerical staff.
Cultivate the client and build relationships and loyalty. Ensure a consistently high quality of work is being performed in a timely manner to maximize customer satisfaction and in turn, optimize profits.
Duties and Responsibilities
1. Daily operations
· Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; assigning and monitoring clerical functions.
· Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
· Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
· Develops system to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures.
· Maintains subsidiary accounts by verifying, allocating, and posting transactions.
· Balances subsidiary accounts by reconciling entries.
· Maintains general ledger by transferring subsidiary account summaries.
· Balances general ledger by preparing a trial balance; reconciling entries.
· Maintains historical records by filing documents.
· Prepares financial reports by collecting, analyzing, and summarizing account information and trends.
· Maintains payroll information by collecting, calculating, and entering data.
· Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.
· Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
· Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments.
· Maintains payroll operations by following policies and procedures; reporting needed changes.
· Maintains employee confidence and protects payroll operations by keeping information confidential.
· Obtains revenue and pays invoices by verifying and completing payable and receivable transactions.
· Pays invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization of payment.
· Obtains revenue by verifying transaction information; computing charges and refunds; preparing and mailing invoices; identifying delinquent accounts and insufficient payments.
· Collects revenue by reminding delinquent accounts; notifying customers of insufficient payments.
· Prepares financial reports by collecting, analyzing, and summarizing account information and trends.
· Maintains accounting ledgers by posting account transactions.
· Verifies accounts by reconciling statements and transactions.
· Resolves account discrepancies by investigating documentation; issuing stop payments, payments, or adjustments.
· Maintains financial security by following internal accounting controls.
· Secures financial information by completing data base backups.
· Maintains financial historical records by filing accounting documents.
2. Customer Care
· Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries
· Addresses concerns and issues
· Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
· Looks for upsell opportunities
3. Other
· Seeks out and participate in continuing education
· Contributes to team effort by accomplishing related results as needed.
· Works with other team members on relevant “projects”.

Job Type: Full-time
Salary: $24.00 - $27.00 per hour
Expected hours: 40 – 50 per week
