Job Description – Dispatcher
Job Description:
The dispatcher is responsible for the general day-to-day operations of EZ Haul’s trucking division, including but not limited to dispatching, regulatory and safety compliance, client relations and sub-hauling.
General:
1. Manage day to day dispatching, driver, and order issues.
2. Administer sub-hauling contracts.
3. Take primary responsibility for driver recruitment, compliance, and evaluations.
Responsibilities:
Daily Trucking and Dispatch Specific Duties:
1. Maintenance of the daily job board and weekly truck schedule. Coordinate with shop teams to ensure that maintenance is being performed and planned out.
2. Set driver schedule for the following day. Communicate next day loads and changes in schedule to drivers.
3. Maintain communication with drivers throughout the day to track delivery progress.
4. Be the main point of contact for driver issues and delays, and coordinate with customers and sales staff to make deliveries run smoothly.
5. Ensure the accuracy of Sales Orders in the QB POS System (computer)
6. Document driver performance – if they are late to show up, accidents, etc.
7. Coordinate with accounting staff to ensure that EZ Haul billing is accurate.
8. Bill out on-account delivery tags the day following performance, and update contract-hauling tracker.
9. Collect documentation from drivers on a daily basis and verify for completeness:
a. Driver Logs
b. Weight Tags
c. Truck inspections
d. Sales tags
10. Cover the front/retail desk when necessary (usually at the end of each day).
11. Provide a daily report to the President
Sub-hauling duties:
1. Be the primary point of contact for all sub-hauler / broker dispatchers.
2. Fill out new sub-hauler packets.
3. Work closely with the sales team to ensure all deliveries are made and ensure the highest level of customer service.
4. Be the main point of contact for driver issues and delays, and coordinate with customers and sales staff to make deliveries run smoothly.
Drivers:
1. Manage recruitment efforts:
a. Perform initial interview, document collection and communication with insurance companies.
b. Take drivers out on driving tests.
c. Interview, test, and hire drivers along with the President.
2. Participate in driver evaluations and write up performance issues.
3. Participate in driver training on trucks and paperwork. Maintain a calendar of safety meetings and training.
4. Monitor driver overtime.
Records and Compliance
1. Perform monthly checks of all shop/truck maintenance records to ensure compliance with Department of Transportation regulations and EZ Haul record policies (subject to change at the discretion of management).
2. Monitor progress on shop-created calendar of all truck service interval due dates and other important dates.
3. Maintain driver records mandated by the DMV Pull Notice System.
4. Update and renew licenses with various government organizations, including but not limited to the Heavy Use Permit, motor Carrier Permit, and all truck and trailer registrations with the DMV.
Qualifications:
Requirements
• At least 2 years in the logistics/trucking industry required.
• Must have a working knowledge of Microsoft Word and Excel.
• Ability to type
Preferred Skills
• Class A license and experience driving is a plus.
• Spanish Speaking
• QuickBooks experience.
