Position: Office Representative / Administrative Assistant
Employment Type: Full-Time (40 hours/week; Monday to Friday, 8:00 AM – 4:00 PM) Compensation: Based on experience

As we continue growing, we’re seeking a capable Office Representative / Administrative Assistant to join our team and help keep our operations running smoothly.
Key Responsibilities:
You will play a pivotal role in coordinating our day-to-day field operations and supporting both our team of technicians and customers. Your duties will include, but not limited to:
● Answering incoming phone calls and professionally addressing inquiries
● Dispatching technicians efficiently and managing technician schedules
● Scheduling service jobs and appointments
● Responding to general email correspondence
● Processing incoming deliveries, and mail for the company
● Sorting documents and packing slips to correspond with service job needs
● Creating and updating customer records in company systems
● Scanning, printing, and managing document copies as needed
● Assisting with accounts receivable tasks: verifying labor and parts for service jobs in preparation for invoicing
Skills & Qualifications:
● Proficient with QuickBooks Online for bookkeeping / invoicing tasks
● Strong experience with Microsoft Excel, Word; comfortable using MacBook OS
● Familiarity with Google apps / services
● Excellent organizational skills, accuracy, and attention to detail
● Strong verbal and written communication skills; ability to handle multiple tasks and priorities
● Customer-focused, punctual, and professional demeanor
● Fast learner and ability to problem solve on own/use resources to find answers
● Familiarity with Dispatch Software - will train
