Job Title: Administrative Assistant – Construction
Location: [Munising Office]
Reports To: Office Manager/Operations Manager
Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing construction company. This role will support our team in a variety of administrative tasks, including managing documents and assisting with office operations. The ideal candidate will have a background in administrative work and the ability to adapt quickly in a fast-paced construction environment. The right candidate can be trained.
Key Responsibilities:
• Document Management: Maintain and organize construction project files, contracts, blueprints, permits, and other essential documents. Ensure all paperwork is properly filed and easily accessible.
• Scheduling & Coordination: Assist with scheduling meetings, site visits, and appointments for management and project teams. Coordinate with vendors, subcontractors, and clients to ensure smooth operations.
• Client & Vendor Communication: Act as a liaison between the company and clients, vendors, and subcontractors, handling inquiries and ensuring timely follow-up.
• Data Entry & Reporting: Input data into various software systems, generate reports, track project progress, and assist with budget tracking and invoice processing.
• Office Supplies & Inventory: Oversee office supply orders, ensuring all materials are available for staff. Assist in the management of inventory of tools, equipment, and other resources.
• General Office Support: Handle incoming phone calls, emails, and other correspondence. Provide administrative support to project managers, supervisors, and other staff as needed.
• Health & Safety Compliance: Assist with maintaining records related to safety inspections, training, and compliance with local, state, and federal regulations.
Qualifications:
• High school diploma or equivalent required; Associate’s degree or relevant certifications is a plus.
• 2+ years of administrative experience, preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational skills and attention to detail.
• Excellent communication skills, both written and verbal.
• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
• Basic understanding of construction terminology and processes is a plus.
• Knowledge of safety regulations and construction documentation is beneficial.
Physical Requirements:
• Ability to sit or stand for extended periods of time.
• Occasional lifting or carrying of up to 30 lbs.
• Ability to work in an office or job site environment.
