SmartRise Elevator Service Inc is seeking the following:
OPERATIONS MANAGER ASSISTANT
Company:
SmartRise Elevator Service, Inc. (SRE), is an independent elevator company who performs service, repair, modernization and new installation of conveyance equipment.
SRE is actively seeking an experienced Operation Manager Assistant to join our team. If you have a proven track record in project management, we invite you to contact us.
Responsibilities:
1. **Project Setup and Coordination:**
- Arrange inspections, letters of intent, and necessary permits for projects.
- Engage with manufacturers and vendors to address material issues, including RMA's, and negotiate optimal pricing.
- Provide timely and accurate quotes to the sales and service department for potential repairs.
2. **Warehouse and Tool Management:**
- Monitor and maintain warehouse tools to ensure readiness for jobs.
- Replace and inventory tools as needed.
- Create and distribute a daily delivery schedule.
3. **Turnover and Approval Processes:**
- Send turnover approval requests to facilitate final inspection scheduling.
- Maintain accurate inter-department calendars.
4. **Documentation and Reporting:**
- Generate parts requisitions based on meticulous documentation from field and/or operations management.
- Receive and process final acceptance forms, updating relevant systems and forwarding necessary information to Regional Billing.
5. **Job Maintenance and Tracking:**
- Track job and collaborate with the Sales Contract Administrator to ensure proper holds and adjustments on existing service accounts under repair.
6. **Booking and Project File Management:**
- Review and process completed booking packages from sales, ensuring compliance with terms and conditions.
- Prepare comprehensive project files, truck folders, and mechanic folders.
7. **Meeting Participation and Coordination:**
- Prepare documentation and attend weekly operation meetings and monthly order management calls.
- Assign tasks during and after meetings as necessary.
8. **Inspections and Closeouts:**
- Schedule final inspections with all relevant parties.
- Complete all project closeout documentation and distribute to required recipients.
9. **Customer Interaction and Support:**
- Field calls from customers regarding job status and address inquiries promptly.
10. **Financial Responsibilities:**
- Participate in the monthly A/R conference call with Regional Collections.
- Actively pursue and follow-up on A/R items and track deposit checks.
11. **Additional Responsibilities:**
- Review and approve time tickets. Job cost accordingly within QB and ESS.
- Review union vacation request forms for conflicts and available time.
- Submit warranty claims and accurately track for timely processing.
- Address various daily, weekly, and monthly reports, resolving open commitments and ensuring accurate project closures.
12. **General Operations:**
- Receive and distribute correspondence related to operations.
- Perform other duties as assigned.
**Qualifications:**
- High school diploma or equivalent; additional relevant education or experience preferred.
- Strong organizational and multitasking abilities.
- Previous project management experience and knowledge of the elevator industry are advantageous.
- Proficiency in Microsoft Office Suite.
- Exceptional communication and problem-solving skills.

Job duties and expectations:
• Exceed sales goals and quotas by utilizing industry experience
• Manages service accounts as required. Includes building relationships with associated groups as required
• Develops sales plans for to address customers short- and long-term building needs
• Assists junior sales representatives, if applicable, with estimates and presentations.
• Maintains a strong working knowledge of competitors products, knowledge of local elevator code requirements, and competitor pricing
• Prepares repair proposals by estimating labor, material, and other job costs using SRE estimate sheet, and interfacing with operations/ field.
• Prepares modernization proposals by estimating labor, material, and other job costs using estimating SRE estimate sheet, and interfacing with operations/ field.
• Gathers estimates from suppliers and calculates labor and material costs using SRE’s estimate sheet.
• Prepares service, repair, and modernization proposals/ contract bids.
• Receives and responds to written and oral questions related to quoted repairs and service contracts. Includes performing follow-up with customers on all service and repair proposals
• Monitors the status of current service contracts by visiting job sites and customers within assigned territory, ensuring customer satisfaction with service; resolves outstanding issues
• Contacts service customers regarding contract renewal prior to contract expiration; advises of price increases if applicable.
• Keeps well organized records of sales activities including but not limited to proposals, secured projects, losses and cancellations.
• Assists A/R with collection efforts to ensure prompt payment from customers
• Conducts customer follow-up on all proposals.
• Provides project management on larger projects
• Upon customer’s acceptance, coordinates submittal packages
• Visits project sites when necessary and works with operations department to ensure customer’s needs and deadlines are being met
• Performs other duties as may be assigned
Education/ Experience:
Minimum of three (3) years industry experience.
• Proficient use of Microsoft Word, Excel, Powerpoint, and Project.
• Strong mechanical and electrical aptitude
• Strong written and communication skills
• Strong presentation skills
