OPERATIONS MANAGER ASSISTANT
Company:
SmartRise Elevator Service, Inc. (SRE), is an independent elevator company who performs service, repair, modernization and new installation of conveyance equipment.
SRE is actively seeking an experienced Operation Manager Assistant to join our team. If you have a proven track record in project management, we invite you to contact us.
Responsibilities:
1. **Project Setup and Coordination:**
- Arrange inspections, letters of intent, and necessary permits for projects.
- Engage with manufacturers and vendors to address material issues, including RMA's, and negotiate optimal pricing.
- Provide timely and accurate quotes to the sales and service department for potential repairs.
2. **Warehouse and Tool Management:**
- Monitor and maintain warehouse tools to ensure readiness for jobs.
- Replace and inventory tools as needed.
- Create and distribute a daily delivery schedule.
3. **Turnover and Approval Processes:**
- Send turnover approval requests to facilitate final inspection scheduling.
- Maintain accurate inter-department calendars.
4. **Documentation and Reporting:**
- Generate parts requisitions based on meticulous documentation from field and/or operations management.
- Receive and process final acceptance forms, updating relevant systems and forwarding necessary information to Regional Billing.
5. **Job Maintenance and Tracking:**
- Track job and collaborate with the Sales Contract Administrator to ensure proper holds and adjustments on existing service accounts under repair.
6. **Booking and Project File Management:**
- Review and process completed booking packages from sales, ensuring compliance with terms and conditions.
- Prepare comprehensive project files, truck folders, and mechanic folders.
7. **Meeting Participation and Coordination:**
- Prepare documentation and attend weekly operation meetings and monthly order management calls.
- Assign tasks during and after meetings as necessary.
8. **Inspections and Closeouts:**
- Schedule final inspections with all relevant parties.
- Complete all project closeout documentation and distribute to required recipients.
9. **Customer Interaction and Support:**
- Field calls from customers regarding job status and address inquiries promptly.
10. **Financial Responsibilities:**
- Participate in the monthly A/R conference call with Regional Collections.
- Actively pursue and follow-up on A/R items and track deposit checks.
11. **Additional Responsibilities:**
- Review and approve time tickets. Job cost accordingly within QB and ESS.
- Review union vacation request forms for conflicts and available time.
- Submit warranty claims and accurately track for timely processing.
- Address various daily, weekly, and monthly reports, resolving open commitments and ensuring accurate project closures.
12. **General Operations:**
- Receive and distribute correspondence related to operations.
- Perform other duties as assigned.
**Qualifications:**
- High school diploma or equivalent; additional relevant education or experience preferred.
- Strong organizational and multitasking abilities.
- Previous project management experience and knowledge of the elevator industry are advantageous.
- Proficiency in Microsoft Office Suite.
- Exceptional communication and problem-solving skills.
