Why Are So Many Service Companies Ghosting Potential Customers After One Phone Call?
Lately, I’ve had several new customers tell me the same thing:
“We’ve called multiple pool companies (or landscapers, contractors, etc.), and nobody ever calls us back.”
If you’re experiencing that, you may be wondering why.
The truth is, many service businesses aren’t trying to be rude. They’re trying to protect their business from customers who show warning signs before the first job even begins.
Not every customer who does these things will be difficult. But after years in business, patterns start to emerge.
Here are a few red flags many service companies notice:
🚩 1. You insist on telling us exactly what day we have to come.
We understand everyone has preferences, but route-based service businesses have to schedule efficiently. If flexibility isn’t possible before we’ve even started, it’s usually a sign that every visit may become a scheduling battle.
🚩 2. You rush us while we’re explaining expectations.
The first phone call is when both sides decide if it’s a good fit. We need to explain how we work just as much as you need to ask questions. That conversation prevents misunderstandings later.
🚩 3. You immediately want us to change how we operate.
Whether it’s changing our payment process, billing schedule, or the way we provide service, remember: our systems exist because they’ve worked for hundreds of customers. We can’t create a different business model for every new client.
🚩 4. You ask for a discount before we’ve even earned your business.
Quality companies know what it costs to provide reliable service. If the first conversation is only about getting the cheapest price, it usually isn’t a good fit for either side.
🚩 5. You tell us you fired your last company but won’t explain why.
We’re not looking for gossip or “the tea.” We simply want to understand what went wrong so we know your expectations and whether we’re the right company for you.
🚩 6. You spend the call telling us how to do our job.
We welcome questions and love educating our customers. But if someone has already decided they know more than the professional they’re hiring, it rarely leads to a successful working relationship.
🚩 7. You call today and expect service today.
Most reputable service companies are scheduled days or even weeks in advance. While emergencies happen, expecting immediate service for routine work often isn’t realistic.
At the end of the day, every business wants great customers just like customers want great service providers.
The best relationships happen when there’s mutual respect, clear communication, and trust on both sides.
If a company asks questions, explains their process, or wants to understand your expectations, don’t see it as an inconvenience. They’re trying to make sure you’re both a good fit.
Sometimes the companies that ask the most questions at the beginning are the ones who provide the best service in the long run.
