Capitol Underground, Inc., a Sun Prairie based Public Works contractor is seeking a full-time Administrative Assistant. This position does not offer remote work.
ESSENTIAL DUTIES:
•Answer phones and direct inquiries to the appropriate staff members
•Greet clients/suppliers/visitors in a professional and friendly manner
•Prepare certified payroll reports, lien waivers, subcontractor agreements, memos, and documents using word processing software
•Maintain electronic and hard copy filing system
•Perform data entry
•Sort incoming mail, faxes, and courier deliveries for distribution
•Prepare and send outgoing faxes, mail, and courier parcels
•Maintain contact lists
•Provide secretarial and administrative support to management and other staff
•Coordinate the maintenance of office equipment
•Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
•Other related tasks as assigned
KNOWLEDGE/SKILLS REQUIRED OF THE POSITION:
•Proficiency in MS Word, MS Excel and MS Outlook
•Attention to detail
•Strong verbal and written communication skills
•Ability to meet deadlines
•Ability to perform multiple assignments without immediate supervision is necessary
•Strong organizational, quantitative and problem solving skills
